Account & booking
- Name, email address, phone number (with country code)
- Health information you provide during onboarding (injuries, pregnancy status, notes for the instructor)
- Emergency contact (optional)
- Booking history, credit balance, gifted / received sessions
Communications
- Emails we send you (confirmations, reminders, cancellations) and their delivery status
- Messages you send via the contact form or WhatsApp
Technical
- Standard server logs (IP address, browser, timestamp)
- Cookies and similar technologies — see our Cookie Notice
- Aggregated analytics (Google Analytics 4) if enabled
3. Why we use it
- To operate your account and process bookings, reschedules and cancellations
- To send transactional emails (confirmation, 24h reminder, cancellation)
- To keep our members safe (health screening notes seen only by the instructor)
- To improve the website and understand which campaigns work (analytics)
- To comply with UAE legal and tax obligations
4. Legal basis
We process your data to perform the contract with you (bookings, account), to comply with legal obligations (invoicing, record keeping), and on the basis of your consent for optional analytics/marketing cookies.
5. Sharing
We share data only with processors needed to run the studio:
- Hosting & database — our platform provider stores account and booking data on our behalf
- Email delivery — transactional emails are sent through our email service provider
- Payments — handled by our payment provider; we do not store card details
- Analytics — Google Analytics 4 / Google Ads (only if you accept analytics cookies)
- Authorities — where required by UAE law
We never sell your personal data.
6. International transfers
Some processors (e.g. hosting, email, analytics) may store or process data outside the UAE. We only work with providers that offer appropriate technical and organisational safeguards.
7. How long we keep it
- Account & booking history: while your account is active, plus a reasonable retention period for tax and dispute purposes
- Health notes: kept only as long as they are relevant to your training; you can ask us to update or remove them at any time
- Email logs: typically 12 months
- Analytics: aggregated and retained per the analytics provider's defaults
8. Your rights
You can request access to, correction of, or deletion of your personal data, and you can withdraw consent for optional cookies at any time. Email hello@formedit.studio and we will respond within a reasonable time.
9. Security
Access to member data is protected by authentication and database-level access rules. Sensitive booking notes are only visible to the instructor conducting the session.
10. Children
Our services are intended for adults. We do not knowingly collect data from minors.
11. Changes
We may update this policy from time to time. The "Last updated" date at the top of this page reflects the most recent version.
